OVERVIEW

The 2009 Annual Clinical Conference for the Ryan White HIV/AIDS Program, Part A, B, C, or D will be held October 15-17 at the Hyatt Regency in Dallas, Texas. The Clinical Conference will offer a rewarding and productive exchange of essential updates and training. New grantees will have the valuable opportunity to discuss cases with experts and network with other RW Program clinicians.

The goal of the meeting is to provide a comprehensive and timely overview of HIV treatment issues and current strategies in HIV medical care for prescribers in RW Program, Part A, B, C, or D funded programs. This state-of-the-art Continuing Medical Education (CME) program is sponsored by the International AIDS Society–USA (IAS–USA) and will include 2.5 days of lectures and interactive workshops sessions. These are designed for clinical staff who are prescribers (physicians, physician assistants, nurse practitioners, and other direct clinical decision makers) and are actively involved in HIV care in RW Program-funded clinics. Attendees are encouraged to bring cases and questions for discussion. This activity has been approved for AMA PRA credit.

The Clinical Conference is planned and supported in collaboration with staff from the HIV/AIDS Bureau (HAB), Health Resources and Services Administration (HRSA) of the US Department of Health and Human Services, and in collaboration with the Southeast AIDS Training and Education Center (SEATEC).

In accordance with the US Department of Health and Human Services (HHS) policy, group meals will not be provided for attendees at this conference. For more information, see section under Allowable Meeting and Travel Costs.


CLINICAL CONFERENCE OBJECTIVES

Upon completion of the Clinical Update, participants will be able to do the following:
  • Design antiretroviral strategies that consider new data on:
    • Initial therapy
    • Interpreting resistance test results
    • Managing antiretroviral regimen failure
  • Describe the current state of the H1N1 virus epidemic
  • Describe the incidence and management of non-AIDS-defining malignancies in HIV
  • Consider current data on investigational treatments for hepatitis C virus infection, as they may impact HCV treatment in the future
  • Describe the drivers of the HIV epidemic in women
  • Formulate appropriate management strategies for the adolescent HIV-infected population
  • Explain the key clinical issues associated with endocrine, metabolic, renal, and cardiovascular complications in HIV disease
  • Formulate medical intervention plans for patients with addictions
  • Diagnose mood disorders that are common in HIV disease

ACCREDITATION

Attendees may earn continuing education credit valuable to their professional discipline. HRSA/HAB is partnering with the IAS–USA and SEATEC to provide continuing education credits for the Clinical Conference.

CME Accreditation Statement
This Clinical Conference is sponsored by the International AIDS Society–USA.
The International AIDS Society–USA is accredited by the Accreditation Council for Continuing Medical Education to sponsor continuing medical education for physicians.

Credit Designation Statement
The International AIDS Society–USA designates this educational activity for a maximum of 14.5 AMA PRA Category 1 Credit. Physicians should only claim credit commensurate with the extent of their participation in the activity.

This activity has been reviewed and is acceptable for up to 14.0 Prescribed credits by the American Academy of Family Physicians.

Nursing Credits
SEATEC is an approved provider of continuing nursing education by the Georgia Nurses Association, an accredited approver by the American Nurses Credentialing Center's Commission on Accreditation. This event has been preliminary approved for 14.5 contact hours.


WHO SHOULD ATTEND

The 2009 Annual Clinical Conference is for physicians, physician assistants, nurse practitioners, and other direct clinical care providers who are actively involved in HIV patient care in Ryan White funded programs.


REGISTRATION

Registration is open to physicians, physician assistants, nurse practitioners, and other clinical decision makers who perform direct services in RW Program, Part A, B, C, or D programs and are actively involved in HIV patient care. Interested practitioners should contact the program manager/coordinator to confirm the maximum number of clinicians allowable for this conference and what is covered.

Registrations may be completed online or by downloading the registration form and submitting it along with your workshop sign up form to the IAS–USA via fax at 415-544-9402; or mail to IAS–USA, Attention: Registration: RW Clinical Conference, 425 California Street, Suite 1450, San Francisco, CA 94104-2120. THERE IS NO REGISTRATION FEE FOR THIS CONFERENCE.

A confirmation letter will be sent to you, along with more information on the meeting. Workshop assignments will be sent to you approximately 2 weeks prior to the meeting. To avoid airline penalty fees, it is recommended that registrants do NOT reserve air travel until receiving a confirmation letter in the event that the conference is full.

For workshop assignment changes or inquiries after October 8, 2009, please check with the conference staff at the Registration and Information Desk in the Reunion Ballroom Foyer.


REGISTRATION DEADLINES

Special Note: Conference registration does not include a hotel guest room reservation. Attendees MUST book hotel reservations directly with the hotel. There are different deadlines for registration and hotel reservation.

It is recommended that you submit your registration form as soon as possible as attendance is limited to the 425 persons and registrations are accepted on a first-come, first served basis.

TRANSFERRING A REGISTRATION

  • Registrants who registered but are subsequently unable to attend may transfer their registration to another clinical decision maker who is actively involved in HIV care in a RW Program, Part A, B, C, or D
  • There is no fee to transfer a registration
  • Transfer requests must be received by the IAS–USA by Friday, October 2nd, 2009.
  • Requests must be in writing and may be submitted via fax to 415-544-9402, or email to rwprogram2009 "at" iasusa.org. Requests must be accompanied by a completed registration form for the person who will attend the Clinical Conference
  • Conference registration does not include hotel guest room reservation. You must cancel your guest room reservation separately by contacting the Hyatt Regency Dallas at 214-651-1234. Hotel guest room reservations must be cancelled in accordance with Hotel cancellation policy to avoid fees or penalties.
  • The person who will be attending must reserve their guest room at the hotel separately.


CANCELLING A REGISTRATION

  • There are no cancellation processing fees. Registrants who are unable to attend may submit a request to transfer their registration or may cancel their registration. To cancel your registration, contact IAS–USA as soon as possible. As attendance is limited, your prompt action may allow another clinician to participate in the conference. ALLOWABLE MEETING AND TRAVEL COSTS

Attendees are responsible for their own arrangements for air travel to and from Dallas, hotel stay, ground transportation, and per diem costs. RW Program, Part C and D attendees should review their grants to determine what travel and meal costs are allowable by their current HRSA grants. RW Program, Part A and B subcontractors should contact the grantee of record to determine if these costs are allowable.

In accordance with the US Department of Health and Human Services (HHS) policy, group meals will not be provided for attendees at this conference. There are several dining options at the hotel and nearby, in the West End District. The West End District is approximately a 5 minute walk to/from the hotel and also accessible via the DART light rail (just 1 stop away from the hotel). For information on maximum reimbursement for meals and incidental expenses (M&IE) while on travel, including a breakdown of breakfast, lunch, and dinner components, visit the GSA website. Note that M&IE rates differ by travel location and attendees should view the rate for the destination to determine which M&IE rates apply.

We suggest that you book your air travel AFTER receiving your meeting registration confirmation to avoid cancellation penalties should the meeting be full.

AUGUST 28, 2009 UPDATE: The Federal Government Per Diem rates for the fiscal year, October 1, 2009 – September 30, 2010, have been released. The revised guest room per diem rates for the Clinical Conference, not including taxes (currently 15%), are listed below. Those attendees who had reserved a guest room prior to this rate adjustment will have their rates amended to the prevailing rate.

$192/four adults

There is no additional charge for 2 children under the age of 16 accompanying an adult guest.

Attendees will be required to provide a credit card to guarantee the reservation and will be responsible for all room and incidental charges. All guest room reservations must be made NO LATER THAN Tuesday, September 22, 2009. At that time the block of rooms will be closed and the negotiated rate cannot be guaranteed. In the event that the guest room block is full, the hotel will accept reservations at the Government Per Diem rate based on availability.

Guest room notice: the hotel is expecting a large number of guest rooms to be reserved by football fans attending the University of Texas versus Oklahoma game on Saturday, October 17. The hotel is designed with an open atrium which may result in a higher noise level for those guest rooms located on the lower floors and near the atrium bar. The hotel has agreed to assign the Clinical Conference guest room block on designated higher floors or in the Skyline Tower of the hotel, depending on availability. When checking in to the hotel, if you wish to change your room location, please let the hotel staff know as soon as possible.

Hotel cancellation policy: Guest room reservation must be cancelled at a minimum of 24 hours prior to the reserved arrival date to avoid penalties. Cancellations may be made by calling the hotel at 214-651-1234.

Driving Directions to Hotel From:

Dallas Fort Worth Airport:
Take the south airport exit and follow signs to Dallas via Hwy 183 (east). Continue approximately 14 miles and merge to I-35E (south) to Dallas. When the downtown Dallas skyline is visible the famed 50-story Reunion Tower will be seen and is connected to the hotel.  Continue I 35E (south) approximately 8 miles to Exit #428E (Reunion Blvd/Commerce St, east) and exit to the right. Once at street level, continue to the next traffic light at Houston Street and turn right. Go one (1) block to the next traffic light at Reunion Blvd (west) and turn right. Continue down the incline to the traffic light at Hyatt Regency Drive.

For hotel parking: turn left and continue up the incline to the front drive of Hyatt Regency Dallas, just up the hill.

Love Field:
Leaving the airport via the main entrance at Cedar Springs Road, turn right onto Mockingbird Lane. Continue on Mockingbird Lane to I-35E and turn left onto the I-35E (south) ramp. Continue on I-35E (south) approximately 8 miles to Exit #428E (Reunion Blvd/Commerce St, east) and exit to the right. Once at street level, continue to the next traffic light at Houston Street and turn right. Go one (1) block to the next traffic light at Reunion Blvd (west) and turn right. Continue down the incline to the traffic light at Hyatt Regency Drive.

    Yes, the following will be made available to meeting registrants at no additional charge.

    Credit Designation Statement
    The International AIDS Society–USA designates this educational activity for a maximum of 14.75 category 1 credits toward the AMA Physician’s Recognition Award. Each physician should claim only those hours of credit that he or she actually spent in the activity.

    Application for CME credit has been filed with the American Academy of Family Physicians. Determination of credit is pending.

    Nursing Credits
    Southeast AIDS Training and Education Center is an approved provider of continuing nursing education by the Georgia Nurses Association, an accredited approver by the American Nurses Credentialing Center's Commission on Accreditation. This event has been preliminary approved for 14.7 contact hours.

  7. What meals are included and what is the per diem?

    Group meals will not be provided, with the exception of light refreshments during scheduled conference breaks. For information on meals and incidental reimbursements (per diem) and travel resources, visit the GSA website.

  8. Are there nearby dining options for lunch or dinner?

    In addition to room service, the hotel offers the following dining options:
