OVERVIEW

The 14th Annual Clinical Conference for the Ryan White (RW) HIV/AIDS Program, Parts A, B, C, D, and F will be held June 27-29, 2011, at the Marriott Tampa Waterside in Tampa, Florida. The Clinical Conference will offer a rewarding and productive exchange of essential updates and training. New grantees will have the valuable opportunity to discuss cases with experts and network with other RW Program clinicians.

The goal of the meeting is to provide a comprehensive and timely overview of HIV treatment issues and current strategies in HIV medical care for prescribers in RW HIV/AIDS Program, Parts A-, B-, C-, D-, and F-funded clinics/programs. This state-of-the-art Continuing Medical Education (CME) program is sponsored by the International Antiviral Society–USA (IAS–USA) and will include 2.5 days of lectures and interactive workshops sessions. The Clinical Conference is designed for clinical staff who are prescribers (physicians, physician assistants, nurse practitioners, and other direct clinical decision makers) and are actively involved in HIV care in RW Program-funded clinics. Attendees are encouraged to bring cases and questions for discussion. This activity has been approved for AMA PRA credit.

The Clinical Conference is planned and supported in collaboration with staff from the HIV/AIDS Bureau (HAB), Health Resources and Services Administration (HRSA) of the US Department of Health and Human Services, and Southeast AIDS Training and Education Center (SEATEC). This CME program is sponsored by the IAS–USA under the HRSA contract number HHSH250200900010C.

In accordance with the US Department of Health and Human Services (HHS) policy, group meals and beverage breaks will not be provided for attendees at this conference. For more information, see section under Allowable Meeting and Travel Costs.

RW Program Grantees should review their RW Program grant, and subcontractors should contact the grantee of record to determine the minimum or maximum number of prescribers intended to participate in the Clinical Conference.

CLINICAL CONFERENCE OBJECTIVES

Upon completion of the Clinical Conference, participants will be able to do the following:

  • Design antiretroviral treatment strategies that consider new and upcoming data
  • Describe current possibilities for curing HIV disease
  • Monitor and refer HIV patients with oral manifestations
  • Formulate appropriate strategies for managing tuberculosis, hepatitis C virus, or sexually transmitted infections in patients with HIV infection
  • Identify patients with personality disorders
  • Design interventions for alcohol use and abuse among the HIV-infected population
  • Describe the key clinical issues associated with cognitive, metabolic, renal and cardiovascular complications in individuals with HIV infection
  • Describe biomedical and behavioral methods to prevent HIV infection
  • Describe the impact of the National AIDS Strategy and Federally Qualified Health Centers on Ryan White HIV/AIDS clinicians

Physicians should claim only the credit commensurate with the extent of their participation in the activity.

Nursing Credits
SEATEC is an approved provider of continuing nursing education by the Georgia Nurses Association, an accredited approver by the American Nurses Credentialing Center's Commission on Accreditation.

Contact hours will be awarded based on attendance at the entire training program and submission of completed evaluation forms. This course is approved for 15.3 contact hours.

REGISTRATION INFORMATION

NOTE: Conference registration does NOT include a hotel guest room reservation. Attendees MUST book hotel reservations directly with the hotel. There are different deadlines for registration and hotel reservation.

Registration is open to physicians, physician assistants, and nurse practitioners who are actively involved in HIV patient care in RW HIV/AIDS Parts A-, B-, C-, D-, and F-funded clinics/programs.

It is recommended that you submit your registration form as soon as possible as attendance is limited to 425 attendees, with registrations accepted on a first-come, first-served basis. There will be no on-site registration available.

Registrations may be completed online or by downloading the registration form and submitting it to the IAS–USA via fax at 415-544-9402; or mail to IAS–USA, Attention: Registration: RW Clinical Conference, 425 California Street, Suite 1450, San Francisco, CA 94104-2120. There is no registration fee for this conference. Registration has been extended to Monday, June 20, 2011.

IMPORTANT: Qualified applicants will receive a confirmation of their registration approximately 5 business days after they have submitted their registration application. To avoid paying any cancellation penalty fees, you should NOT book your air travel or hotel reservations until you receive your confirmation.

REGISTRATION FEE

There is no cost to attend the Clinical Conference; however, the numbers of participants may be limited by Program. Interested practitioners should contact the program manager/coordinator, or the HAB Project Officer, to confirm the maximum number of clinicians allowable for this conference and what is covered.

TRANSFERRING A REGISTRATION

  • Registrants who registered but subsequently unable to attend may transfer their registration to another clinical decision maker who is actively involved in HIV care in a RW HIV/AIDS Program, Parts A, B, C, D, and F clinic/program

  • There is no fee to transfer a registration.

  • Transfer requests must be received by the IAS–USA by Wednesday, June 15.

  • Requests must be in writing and may be submitted via fax to 415-544-9402, or email to rwprogram2011 "at" iasusa.org. Requests must be accompanied by a completed registration form for the person who will attend the Clinical Conference.

  • Conference registration does not include hotel guest room reservation. You must cancel your guest room reservation separately by contacting the Marriott Tampa Waterside at 1-813-221-4900 or 1-800-266-9432. Hotel guest room reservations must be cancelled in accordance with Hotel cancellation policy to avoid fees or penalties.

  • The person who will be attending must reserve their guest room at the hotel separately.

CANCELLING A REGISTRATION

  • There are no cancellation processing fees. Registrants who are unable to attend may submit a request to transfer their registration or may cancel their registration. To cancel your registration, please contact IAS–USA as soon as possible. As attendance is limited, your prompt action may allow another clinician to participate in the conference. Clinical Conference workshop sign-up forms will be available to RW HIV/AIDS Program clinical decision makers after their registration has been confirmed. Notification of workshop assignments will be sent approximately 1-week prior to the meeting.

ALLOWABLE MEETING AND TRAVEL COSTS

Attendees are responsible for their own arrangements for air travel to and from Tampa, hotel stay, ground transportation, and per diem costs. RW Program grantees should review their grants to determine what travel costs are allowable by their current HRSA grants. RW Program subcontractors should contact the grantee of record to determine if these costs are allowable.

In accordance with the US Department of Health and Human Services (HHS) policy, group meals will not be provided for attendees at this conference. Practitioners should contact the program manager/coordinator, or the HAB Project Officer, for information on reimbursement for meals and incidental expenses while on travel. There are several dining options at the hotel and nearby, and all guest rooms at the Marriott Tampa Waterside do offer a coffee/tea maker. Attendees who plan to visit the hotel's food outlets, or make different arrangements, should allow ample time to arrive to the meeting before it starts. Getting Around Tampa:

A comprehensive menu of motor coach, limo & taxi services, streetcar & trolley, shuttle systems, and rental cars keep visitors on the move during their stay in Tampa.

Hillsborough Area Regional Transit Authority (HART) provides inter-city bus service. HART manages 207 buses on 26 routes, nine rubber-tired trolleys, and eight historic electric streetcars that connect downtown Tampa with countywide pick up and drop off locations. HART provides direct service from Tampa International Airport to downtown's Marion Transit Center. All HART buses, vans and streetcars are wheelchair accessible in accordance with requirements governed by the Americans with Disabilities Act.

The In Town Trolley, connects downtown hotels to the Tampa Convention Center and the TECO Line Streetcar System. It operates weekdays and provides an additional connection between downtown and local dining, shopping and entertainment destinations. Riders can make convenient connections between the rubber-wheeled trolley and the electric streetcar allowing car-free travel to historic Ybor City and numerous other attractions. There is a streetcar station across the street, at the front of the Hotel.

PRE AND POST CLINICAL CONFERENCE ANCILLARY NON-AFFILIATED ACTIVITIES

Immediately following the 14th Annual Clinical Conference for Ryan White HIV/AIDS Program clinicians, there will be a special adjunct program available to all participants, Advancing Transwomen's Health: A Symposium to Improve Access to High Quality HIV Prevention and Care Services. This free event will be held on Wednesday, June 29, from 1:00 pm to 5:30 pm at the Marriott Tampa Waterside.

The symposium is presented by the National Alliance for HIV Education and Workforce Development (the association of AETCs) and the Center of Excellence for Transgender Health and offers CME and CE credits. Lunch will be provided for all participants. The program is targeted for clinicians who manage and treat HIV-infected or at-risk transgender women, or those who would like to reach out to this community with culturally sensitive services. The agenda includes clinical presentations, skill building workshops, case presentations, and networking opportunities.

Also, prior to the 14th Annual Clinical Conference for Ryan White HIV/AIDS Program clinicians, there will be a special adjunct workshop available to all participants, Leveraging Health Reform to Strengthen the HIV Care System: A Forum for Ryan White Providers. This free event will take place, Sunday, June 26, from 4:00 pm to 6:45 pm at the Marriott Tampa Waterside.

The workshop is targeting Ryan White HIV/AIDS Program medical practitioners and will cover key topics related to health reform and HIV care, including opportunities to partner with community health centers, medical homes and HIV care, and how HIV medical practitioners can help shape reforms.

Dinner will be provided. The Ryan White Medical Providers Coalition and HIV Medicine Association are sponsoring the workshop. Kevin Carmichael, MD, FIDSA, and James Raper, DSN, CRNP, JD, are co-chairing the event.

NON-AFFILIATED ACTIVITY POLICY

Policy for Scheduling Activities Prior to or During the Clinical Conference

The goal of the Clinical Conference is to improve the availability and quality of HIV/AIDS services for low income, uninsured and underinsured individuals and families by providing quality clinical education and practical help for RW HIV/AIDS Program grantees. The Clinical Conference is intended to be an educational experience for its attendees and is not a convention. The Clinical Conference strives for participants to devote a maximum amount of time to a high level continuing medical education program that includes didactic lectures, interactive workshops and networking events designed to provide valuable interaction between the RW grantee clinicians, faculty, and HRSA / HAB staff to facilitate learning.

Guiding Principles for Non-Affiliated Events
In keeping with the goal of the Clinical Conference, the program is educational in nature and as such, the organizers routinely do not allow non-Conference events. Informal ancillary activities may be allowed but only with the approval by the organizers and HRSA/HAB. These ancillary activities include any meetings or functions that are organized or sponsored by an organization or company that is not directly associated with the Clinical Conference.

To maintain the educational focus and integrity of the conference, it is required that any / all organizations that wish to hold functions of any size or nature in any location during Clinical Conference must complete the Ancillary Event Request.

Ancillary events should:

  • support and be consistent with the goals of the Clinical Conference

  • be directed to Clinical Conference participants (affiliated event sponsors and participants must be Clinical Conference registrants)

  • be noncommercial

  • not conflict with or detract from official conference programming

Scheduling of Events
Organizations may not hold functions during the Clinical Conference defined "blackout" times. Black out times consist of scheduled Clinical Conference program and associated events, including the educational portions of the program, group networking, and/or faculty events. Clinical Conference will strictly enforce the blackout times to avoid any scheduling conflicts between official conference sessions and non-conference meetings and/or events.

Any organization interested in conducting an ancillary activity for some or all of the attendees of the Clinical Conference must direct their inquiry and application to the IAS–USA. Applications must be received in writing by Friday, June 3, 2011.
